Departmental Internship Guide

Purpose:

To determine the principles and rules to be applied in internships, which will enable students to reinforce the theoretical knowledge they acquire during their studies through practical application, to develop professional observations within the framework of identifying, defining, and solving engineering problems, as well as to develop individual work skills, establishing and maintaining social relationships, and an awareness of lifelong learning.

Internship Locations:

The responsibility for finding an internship location rests entirely with the student. However, announcements from institutions, such as internship quotas reserved for departmental students, will be shared with the departmental students by the secretariat.

Students may intern in public or private enterprises, domestically or internationally, as deemed appropriate by the Internship Committee.

No student may intern in an enterprise they find on their initiative without the approval of the Internship Committee.

Requirements Required for Public or Private Institutions Offering Internships:

i. The institution offering the internship must have an IT Department. Various public and private institutions operating in the fields of management, education, industry, commerce, and services, including banks, universities, and companies that produce and market computer hardware, must be employed.

ii. The institution must have at least one Computer Engineer responsible for interns.

iii. The institution/organization must be engaged in areas suitable for Computer Engineers, such as computer networking, network security, system analysis, system programming, system design, database creation and management, and intelligent systems development, which allow students to acquire practical work skills.

iv. The institution providing the internship must be committed to effectively employing the interns.

Internship Commencement and Duration:

The mandatory internship period is 40 working days. Students may begin their internship at the end of their sophomore year. Furthermore, an internship completed at a workplace cannot exceed 30 days.

A week is 5 working days. Saturdays and Sundays are also considered working days, provided the workplace documents this.

Internships can be done during the summer months, between the fall and spring semesters (the end date of finals and the start date of the spring semester).


Internship Exemption Request:

Students who transfer to the faculty through horizontal or vertical transfer may apply for an exemption from the departmental internship committee, provided they provide documentation of the internships they completed in their home country. The committee evaluates the completed internships and may accept them for a maximum of 20 days. To apply, students may submit a petition to the department head by the end of the first month of their first semester of registration at the university.

Application:

According to Article 5/b of Social Security and General Health Insurance Law No. 5510, students subject to compulsory internships are required to have "Work Accident and Occupational Disease Insurance." Therefore;

Students must submit an acceptance letter (Sample Acceptance Letter) from the institution they applied for the internship to, two INTERNSHIP Application Forms (to be completed and printed out on a computer), an information form regarding the unemployment fund contribution to the internship fees at the end of the internship if the internship will be paid, an information form regarding the internship fee waiver if the internship will not be charged, and a document obtained from the Social Security Institution (SPAS Entitlement Inquiry) (Health Provision Activation System) at www.turkiye.gov.tr. Students who will be completing multiple internships consecutively must also include information about the second institution they will be interning at on the Internship Application Form. The "Internship Start Date" indicates the start date of the first internship, and the "Internship End Date" indicates the end date of the second internship. If the internship is deemed suitable by the internship committee, the documents will be accepted. Students can also begin their internships by pasting photographs into internship notebooks, which can be obtained from the Faculty's photocopy centers, and having them approved by the Department Secretariat.


Activities to be Undertaken During the Internship:

i. Learning about the organization: Learning the organization's activities, organizational structure, departments, and duties. Questioning the workplace's expectations of a Computer Engineer during the internship. Examining the hierarchy among employees at the workplace.
ii. Monitoring, examining, and learning about the organization's work.
iii. The devices, information systems, network infrastructures, database structures, etc. used within the organization should be introduced, and the specific tasks they are used for should be examined.

Editing and Approving the Internship Notebook:

i. The "Internship Notebook," which intern students are required to prepare, must be prepared by the following writing rules.
ii. The notebook must be written by hand in technical font. Programs, flowcharts, diagrams, figures, etc. can be typed and printed using a computer.
iii. The title of each section must be written in capital letters, and any subheadings must begin with a capital letter.
iv. Various screenshots, tables, etc., may be added as needed during the presentation of the topics. v. Each Figure and Table within the text will be numbered.

vi. The internship notebook will consist of the following sections.

2. Contents page: In the weekly internship report, the types of work performed each day will be listed, and the pages where detailed descriptions of these tasks are located will be specified.

3. Introduction: This section will briefly provide information about the subject of the internship, the workplace name, and its activities. The number and duties of the engineers and technical staff working at the workplace will be briefly discussed.

4. Work Performed during the Internship: This section will detail the work performed in the tasks specified in the internship guidelines.

5. Conclusion section: At the end of the internship reports, a summary evaluation of the work performed using the knowledge and skills acquired during the internship will be provided, along with any opinions or reflections.

Submission and Evaluation of Internship Reports:
Internship reports must be submitted to the department secretary within two weeks of the start of the fall and spring semesters.


After the internship student's registration slip is received from the institution where the internship was held, the student will be subject to an internship exam.

The internship committee evaluates internship reports. The following criteria are considered in this evaluation:

1) Evaluation of the scope of the internship,

2) Adequacy of technical information about the institution/company where the internship was held and the presentation of the internship location,

3) The appropriateness of the way the work and observations were conveyed in the internship report,

4) Evaluation of the appropriate completion of the internship report,

5) Whether the explanations in the internship report were based on observations,

6) The adequacy of the images, figures, and tables used in the explanations in the internship report,

7) The adequacy of the documentation provided in the internship report regarding the work and observations,

8) Evaluation of the internship report, the internship location, and the work performed by projects and local government regulations.

A presentation may be requested if necessary following the evaluation of the internship report. An "Internship Committee Internship Interview and Evaluation Form" is created for each student, taking into account the evaluation criteria provided on the internship evaluation form completed by the institution where the internship was held. For students whose internship performance evaluation is inadequate, the number of days spent internship may be reduced, if necessary, to determine the number of accepted days. The student will be notified of the outcome.


VOCATIONAL INTERNSHIP COURSE

The vocational internship course is a required course for all students enrolled in the curriculum in 2021 and beyond. All students who have completed their internships or are likely to complete their internships must take it in the semester it is offered. If you select "Show Graduate Degree/9. Incomplete" in the OGUBS system and it appears on your internship, it is a required course.

Question: My courses end in the spring semester and I will complete my internship in the summer. When should I take the vocational internship course?
Answer: You must take it in the spring semester before the summer of your internship.

 

Question: My courses end in the fall semester and I have completed my internship. When should I take the vocational internship course?
Answer: You must take it in the current fall semester.

 

Question: When are grades for the vocational internship course calculated?
Answer: Grades are given immediately to those who complete their internships.
